In a normal day, this position requires little to no standing or walking. In a normal day, the employee must be able to sit for 7+ hours. In a normal day, the employee must be able to drive 1-4 hours. Employee must be able to lift/carry up to 10 lbs. maximum; occasionally carry small objects. In this position, employee occasionally (0-33%) must be able to bend at waist, squat the knees, climb (including ladders), reach above shoulders, kneel, crawl, use feet (foot controls), and/or work at heights above 6 feet.

You will be responsible for assisting with overviews, RFQ/P responses, interviews/presentations, project & craftsmanship award submissions, business development collateral, trade shows/ conferences, and Unanet data management.
How You’ll Contribute:
Opportunity Submissions
- Assist in creating, updating, and maintaining opportunity submission materials (i.e., resumes, experience, covers, dividers, etc.).
- Assist Specialist(s)/Manager(s) with RFQ/P and interview submissions.
- Assist with production (printing, binding, mailing, etc.).
Business Development/CRM
- Prepare general overview books and intro/lunch-n-learn presentations.
- Assist in creating, updating, and maintaining business development collateral (i.e., brochures, overviews, etc.).
- Assist in entering and maintaining Unanet data.
- Assist with research and development of targeted client/prospect list (i.e., executive directors at non-profit senior living communities).
- Assist with crafting and sending emails to targeted clients & prospects.
Award Submissions
- Assist with craftsmanship and project award submissions (i.e., file set up, org charts, entry forms, etc.).
Content/Visual Assets
- Maintain client reference letter files and binder.
- Responsible for obtaining updated materials (i.e., EMR letter, certificates of insurance, etc.)
- Conduct light edits on content for adherence to grammar and formatting standards.
General
- General support to the Proposal & Business Development Services team.
- Effectively uses templates to execute work product.
- Monitor and maintain inventory of proposal and business development materials (i.e., binders, tabs, folders, wire binding, proposal paper, etc.), including placing orders.
- Responsible for all copier/printer supplies (i.e., toner, paper, etc.), maintenance, and support calls.
- Maintain the Team's information on the Company's SharePoint page (i.e., profiles, brochures, etc.).
- Maintain and update the Team's Workload Board and Outlook Calendar.
Relationships
- Reports to the Proposal & BD Manager(s) or Director of Proposal and BD Services.
- Daily interface with Proposal & BD Services Team Members.
- Work in tandem with Proposal & BD Services Team Members to ensure cohesiveness, standards, and requirements are met.

Authority
- Ensure the Team's workload board & Outlook calendar are updated.
- Ensure the Team's SharePoint page is accurate and up to date.
- Responsible for copier/printer supplies, service calls, and troubleshooting.
Accountability
- Maintain the inventory and organization of materials necessary for opportunity submissions, including proposal paper, copier paper, binders, tabs, and other relevant supplies, to support efficient work acquisition efforts.
- Assist Specialist(s) & Manager(s) with award submission tasks, ensuring timely completion of entry forms, content review, formatting, and adherence to submission requirements.
Qualifications:
- Associate or bachelor's degree in marketing, public relations, or communications.
- 0-3 years of related technical marketing or business development support experience.
- Some experience using: Adobe Creative Suite (InDesign, Illustrator, Photoshop, CC Library, Acrobat), Office 365 programs (Outlook, Word, PowerPoint, Excel, Planner, Teams, SharePoint/OneDrive), Open Asset or a similar digital asset management program, Unanet or a similar customer relationship management (CRM) system, AI Software (i.e., ChatGPT, Joist AI, etc.).
- Good writing, editing, proofreading, and oral communication skills.
- Good organizational and time management skills and ability to balance short-term deadlines against long-term goals.
- Acute attention to detail.
- Graphic eye/creative mindset.
- Ablility to take direction, plan tasks accordingly, and complete tasks within specified deadlines in a fast-paced environment.
- Basic knowledge of the A/E/C industry and marketing/business development principles.
